Shipping document
Extraction, library preparation, sequencing, genotyping services
All samples must be accompanied by the waybill obtained during the online submission in Nanuq. This document, equipped with a barcode, allows samples to be tracked.
After submitting the samples, go to the “Sample Submission” tab, select the sample submission(s) associated with the shipment to be prepared, then click “Print Waybill”. By default, two copies are printed.
One copy of the waybill must be placed inside the box with the sample. Ensure the copy remains dry by placing it in a zip-lock plastic bag.
The other copy must be clearly visible on the outside of the package for mailed shipments. It can be taped or placed in a transparent protective envelope.
PCR amplification and Sanger sequencing service
All samples must be submitted with a copy of the official quote issued by the Client Management Office.
Package Preparation
Plates and strip-tubes must be properly sealed and placed in zip-lock plastic bag.
Other types of tubes must be placed in a box with dividers or any other container that keeps them in order.
Place them from left to right, following the order indicated on the sample submission form. The container must remain closed throughout transport.
Protect samples from impact. Plates or tubes must be placed in a sturdy container that can withstand transport
Shipping temperature
Any material to be shipped frozen must be placed on dry ice.
The package must contain enough dry ice to keep the samples frozen until arrival at the laboratory. Thawing during transport can cause:
- Sample degradation
- Loss of sealant adhesion when shipping in plate, which can lead to sample loss and/or cross-contamination
Samples may then be rejected if leakage is observed upon reception

Shipping from outside Canada
Samples crossing the Canadian border should be sent at the beginning of the week to avoid the risk of delays and of having the samples remain in the carrier’s warehouse over the weekend. Messages such as “non-biohazardous biological samples”, “Purified DNA from [species]”, “For research use only”, and “No commercial value” on the commercial invoice will help expedite customs clearance.
Sample Shipping Methods
CES Génome Québec deposit boxes
For easy and free sample shipping for Sanger and PlasmiQ sequencing services, drop them off in one of the CES drop boxes.
For all other services, the drop boxes at the Azrieli Research Centre at CHU Sainte-Justine in Montreal and those at the Biobanque Génome Québec and CIUSSS du Saguenay-Lac-Saint-Jean in Chicoutimi can be used.

Access through the main entrance
- From the reception take elevators 1-2-3-4 on the left or the stairs on the right to go down to floor A
- Take the corridor on the right, then turn left following the signs indicating the direction of Block 7
- Follow the corridor. At the end take the corridor on the left with the indication Bloc 7 et 9 Centre de recherche
- Go to the end of this corridor until the indication Ascenseurs 11 et 12
- Take elevators 11-12 to the 5th floor. Access to the 5th floor is authorized between 8:00 a.m. and 5:00 p.m.
- When exiting the elevator, place the samples in the drop box directly in front of the elevators.
CES Génome Québec is not responsible for delivery times, samples received in poor condition (broken tubes or plates, evaporated samples, etc.), or additional processing times caused by incorrectly identified shipments.
